Conference calls are an efficient way of communicating with co-workers in different parts of the country or around the world. Rather than having everyone travel to a central location, conference calls make it possible to hold the meeting from different locations. Depending on the type of equipment available, the conference calls may be audio only, video or online.
Audio Conference
Voice-only conference calls allow participants to exchange ideas verbally over the telephone lines. The only requirements are telephones for each participant or a speakerphone if more than one participant is in the room. For a small group, the leader of the conference may use a conference-calling feature supplied by the local telephone provider to set up the call. He also may choose a company that provides this service for a nominal fee. Audio conference providers typically provide an access code or password that allows participants to enter the call. Conference call fees may be based on a flat rate or on the number of participants and the number of minutes used on the call. If someone is unable to attend the audio conference, there is usually some accommodation for recording the meeting.
Videoconference
A videoconference requires a camera and television equipment at each location in addition to phone lines. In its early years, videoconferencing was quite expensive and required a lot of technical input. Videoconferencing equipment has declined in cost and is easier to set up and maintain. For large-group presentations, the equipment can be installed permanently in a classroom or boardroom. For individuals or small groups, videoconferencing on a desktop or laptop computer allows mobility as well as flexibility of scheduling. A videoconference allows participants to share visual presentations that help clarify ideas using existing Internet connections. One drawback of videoconferencing is all the Internet speeds must be compatible and the equipment must be functioning properly.
Web Conference
Specialty conference-call companies provide web conference services that offer many of the same features as videoconferencing. The major difference is the company doesn’t need to buy a lot of video equipment. Typically, web cameras and headsets are the only equipment necessary. Like videoconferencing, a web conference combines audio and visual capabilities, which allow participants to share notes and other digital information quickly and easily. It’s possible to record a web conference to share its contents later as a podcast, or you can stream the conference live over the Internet.
